Attendee count/meal guarantees

Bricks & Brass (I.E. Four Points by Sheraton Tallahassee Downtown) requires that a guarantee is submitted by noon seventy-two (72) hours prior to your event.  If your event is scheduled on Tuesday, then the guaranteed attendance must be received by noon on the preceding Friday. The Four Points will be responsible for service up to 5% over the guarantee.  If the number of guests attending your event falls below the meal guarantee, then the host is responsible for the number guaranteed.



In order to validate your contract and secure your event date the signed contract and a non-refundable deposit are necessary.  Credit cards, cash and personal checks are accepted for all deposits and will be credited toward the final bill.  A valid credit card must be presented prior to your event to remain on file. Should you cancel your event, your advance deposits will not be refunded.  A payment will be due 4 months prior to the event or at the time of contract equaling the room fee.  The next deposit that is 90 days prior to the event an additional payment will be due equivalent to 50% of the food and beverage minimum. The final payment will be will be due 3 days prior to the event along with your final head count. The final Banquet Event Order will be required with approval and signature will also be due at this time. Without a signed BEO the event will not move forward. If payments are not received by the specified times, then charges will automatically be posted to the credit card on file. Any further charges that incurred on the day of your event will be posted to the credit card on file at the conclusion of your event.    



In order to guarantee the function space reservation there is a food and beverage minimum required on the Bricks & Brass Ballroom. This includes food and beverage only and does reduce if the expected attendance is not achieved. The minimum expenditure does not include any service charges, sales tax, or other miscellaneous rental charges.  


Chefs and carvers are necessary for some menu items, and are charged at $75.00 each for two hours. This fee is subject to a current rate of 7.5% tax (subject to change).



The prices listed are subject to change in order to meet increase cost of materials or operations for events reserved 90 days or more in advance.  All items are subject to 7.5% Leon County sales tax and a 21% Service Charge.  If your organization is tax exempt, a copy of your current certificate must be on file one week prior to the event in order to set up your account with this status.



The regulation of the sale and service of alcoholic beverages is conducted by The Florida State Liquor Commission. The Four Points by Sheraton Tallahassee Downtown is responsible for the administration of these regulations.  It is against Hotel policy to bring liquor/alcohol into the hotel meeting rooms from any outside sources.  In addition, food purchased or catered from outside sources cannot be brought into the Hotel’s meeting rooms, with the exception of Wedding Cakes.  Due to the Florida statutes, alcohol sales and consumption on property will close at precisely 2:00am. NO EXCEPTIONS.



Some events may be subject to have security and the Hotel will require a charge of $60.00 for the first four hours and $25.00 after the initial four hours that will be charged for security officers at the client’s expense. This fee is subject to current rate of 7.5% tax (subject to change).




The hotel and the group shall obtain and maintain and provide evidence of insurance upon request in amounts sufficient to provide coverage for any liabilities which may reasonably arise out of or result from the respective obligations pursuant to this contract.  Four Points will not be additionally insured on any client or vendor’s request; however, event insurance can be obtained through an outside party.


 Due to the detail in décor, we request that nothing be affixed to the walls, floor, or ceiling with nails, staples, tape, etc… Use of confetti as décor is strongly discouraged.  If use is absolutely necessary, a $75.00 clean up fee will be applied to the banquet bill. The Four Points may require security guards for certain events. The Four Points reserves the right to substitute alternative space within the property if it is deemed necessary or if the attendance deviates substantially from the number originally indicated. The Four Points will not assume liability for the loss of any merchandise or articles left on site before or after the function.

We will work with you to set up your meeting room(s) in any configuration that is most advantageous to your function.  We will also be happy to provide a private Bar and Bartender for a set-up and labor fee.
